Duration: Initial 12 months with 2 x 12-month extensions

Location of work: Canberra, ACT

Working arrangements: Onsite – 5 days per week in office

Description:

Our client is seeking two Program & Administration Support Officers to provide ICT procurement and contract administration support within a contract management environment. The roles will contribute to the delivery of high-quality contract management and procurement outcomes by supporting day-to-day administrative and coordination activities.

Successful candidates will work as part of a team responsible for managing ICT contracts, supporting contract managers, maintaining documentation and records, and assisting with procurement documentation and reporting. Strong organisational, communication and stakeholder engagement skills will be essential to ensure effective collaboration with internal and external stakeholders.

Responsibilities:

  • Work as part of a procurement and contract management team to deliver ICT contract management and procurement services
  • Perform ICT procurement and contract management administrative duties including invoicing review, correspondence, reporting, records management and scheduling meetings
  • Support contract managers with administrative and coordination tasks
  • Maintain registers, documentation and electronic records management systems
  • Track invoice approvals through to payment
  • Manage shared mailboxes and coordinate communications
  • Record meeting minutes where required
  • Assist with drafting procurement and contract documentation
  • Collate contract management data and support reporting activities
  • Develop and maintain strong internal and external stakeholder relationships

Requirements:

  • Demonstrated high level written and verbal communication skills
  • Strong organisation and administration capabilities
  • Stakeholder management capability aligned with SFIA Relationship and Engagement – Level 3
  • Contract management capability aligned with SFIA ITCM – Level 3
  • Certificate IV in Contract Management and Procurement

Essential Criteria:

  • Support day-to-day contract management activities Support day-to-day contract management activities that reflect departmental needs, align with departmental priorities and comply with applicable legislation, regulations, policies, guidelines and procedures (e.g. PGPA Act, Commonwealth Procurement Rules, FFSP Act.
  • Provide administrative support to contract managers Provide administrative support to contract managers including but not limited to: Electronic records management including creation, filing and updating, Creation and maintenance of registers, Tracking and management of invoice approval to payment, Central mailbox management and maintenance, Meeting minutes recording where required Good working knowledge of Commonwealth Procurement Rules (CPRs)
  • Good working knowledge of Commonwealth Procurement Rules (CPRs) and Government procurement policy frameworks.
  • Assist with drafting procurement and contract documentation Assist with drafting procurement and contract documentation including tenders, panels, contracts and statutory reporting requirements.
  • Collate data contract management Collate data contract management. Provide simple analysis and reports as requested.
  • Communicate effectively with all levels of staff Communicate effectively with all levels of staff. Proficient in Excel. Demonstrated experience in contract management support and administration within Australian government environments. Current AGSVA security clearance (minimum NV1).

Desirable Criteria:

  • Experience in ICT and capability delivery.
  • High level MS Excel skills.
